They operate across multiple European markets, supporting enterprises and public sector organisations where accessibility and usability compliance are critical for securing tenders.

Why Was This Problem Important?

The previous IT asset management system had significant usability and scalability issues, making it less competitive in tenders, especially in public administration sectors where accessibility is crucial.

As governments and large enterprises shifted towards stricter digital compliance requirements, the company needed a solution that met modern accessibility, security, and performance standards.

The outdated asset management system led to inefficiencies across multiple business units. The lack of scalability made it difficult to support an expanding customer base, while poor usability negatively affected productivity. In public administration tenders, failure to meet accessibility and compliance requirements meant missed business opportunities.

How We Approached It

A new IT asset management system, Acquisition management , was designed to replace the outdated solution. The approach combined early research, iterative testing, and a structured design methodology to ensure a scalable, accessible, and user-friendly platform.

Key Features & Methods Used

Research and discovery were conducted with stakeholders across multiple European countries to gather business and regulatory requirements. Interactive prototypes were developed in Figma, followed by remote usability testing using Maze. A design system was introduced to maintain consistency across the platform and improve visual conformity. User story mapping was employed to detect critical pain points and refine workflows before development.

Team & Collaboration

The project was a collaboration between business representatives, product owners, system architects, and developers. As the lead designer, I worked closely with stakeholders to ensure that business requirements translated into practical, user-friendly solutions. The team leveraged remote collaboration tools to align design efforts across multiple markets.

Implementation Details

Acquisition management was developed following the SAFe Agile model, where early research and validation ensured that only features with tangible business and user value were prioritised. The iterative process allowed for continuous refinement, making the tool adaptable to evolving business needs.
